WPO365 Insights

See what matters, when it happens Track key WPO365 events like logins, sent emails and user creation and updates with WPO365 Insights. This article will assist you in understanding how you can benefit from WPO365 Insights, using a WP Admin Dashboard Widget (see screenshot below) and a management summary page with drill-down functionality.

WPO365 Insights is a freemium service, which means that while some insights are accessible in the free version, others require the installation of a premium plugin to be unlocked.

Introduction

Access to WPO365 Insights is available through the WPO365 Dashboard, as shown below.

WPO365 Insights is not activated by default. It must be enabled by an administrator who has access to the WPO365 Configuration Pages. Upon activation, the service will begin to collect key data on the following events:
Insight Status (OK / NOK) Category
User logged in OK / NOK WP, SSO
User created OK / NOK WP, SSO, SYNC premium, SCIM premium
User updated OK / NOK SSO, SYNC premium, SCIM premium
Mail sent OK / NOK MAIL
Alerts submitted OK / NOK ALERTS

Status

The Status column signifies the availability of an insight; OK denotes success, while NOK indicates failure. For example, it an email failed to sent successfully, it count towards the Mail not sent successfully Insight.

Category

WPO365 Insights are categorized by the source that captured the event. WP stands for WordPress, SSO refers to Microsoft-based Single Sign-on provided by WPO365, SYNC signifies that the service capturing the event was the WPO365 User synchronization, and SCIM implies that the service capturing the event was the WPO365 SCIM service for Azure AD User provisioning. Lastly, MAIL refers to WPO365's ability to send WordPress emails via Microsoft Graph. For example, if a user logs into WordPress using a local WordPress account, it will count towards the WP User logged-in successfully insight. However, if a user signs in using Microsoft based SSO with the help of the WPO365 plugin, it will be counted as an SSO User logged-in successfully event.

WPO365 Insights

Once WPO365 Insights is activated, and based on the features enabled, up to four cards for ALERTSLOGIN, USERS, and MAIL will be displayed. An example for the MAIL insight is shown below.

When a premium WPO365 plugin is detected, you can view the details of an insight by clicking on the chevron icon, which will expand the list, as shown below.

Please note The MAIL insight should not be mistaken for the WPO365 | MAIL (premium) feature, which logs all outgoing emails and allows for resending of emails in case they fail to send.

Also, when  a premium WPO365 plugin is detected, you can change the period from Today to Week to Date (WTD), Month to Date (MTD) or Year to Date (YTD)If a premium WPO365 addon or bundle is not present, a corresponding warning will be displayed.

Truncate data
To remove the data collected by the WPO365 Insights service, simply click the Truncate data button located in the toolbar at the top of the page.
Data retention
Data of the previous year will be automatically deleted by the system.
Hide Widget

When checked, this option removes the Daily WPO365 Insights widget from the WP Admin Dashboard. Unchecking it will restore the widget.

Anonymize user details

If you are not allowed to store additional information about your users, you can choose to Anonymize user details. Doing so will remove the user details e.g. from a User logged in insight. In that case, WPO365 Insights remains valuable for gathering information concerning the number of users who have successfully (and unsuccessfully) signed into your website, although it does not specify which users they were.

WPO365 Alerts

To receive notifications when a critical WPO365 event occurs, you can - if a premium WPO365 plugin is detected - enable WPO365 Alerts, by clicking Configure as demonstrated below. 


Important WPO365 Alerts are sent to our service at https://insights.wpo365.com/. Upon receipt of the alert, the service will first check whether a valid license has been activated for the site in question. If a valid license is found, the service will place an email to the address that you registered under WP Admin > Settings > General > Administration Email Address in the mail queue (thus delivery might be slightly delayed). The email will be sent from insights@wpo365.com, so please make sure that you added this email address to your allow list and that messages from this address are not marked as spam. 

No sensitive data

If this option is selected, the error message - potentially containing sensitive information about your site, email addresses, or users - will be excluded from the alert. Instead, the alert body will read: "[No sensitive data] To view the full alert message, go to your site → WP Admin → WPO365 → Dashboard → Insights." This approach helps minimize the exposure of personal or sensitive data in accordance with GDPR best practices.

Email sending issues

When this option is selected, the system will send an alert if an email fails to be delivered.

Unsuccessful logins

If checked, alerts will be sent whenever a failed login attempt is detected.

Failed user creation

If enabled, the system will sent an alert each time WPO365 fails to create a new WordPress user.

Send test alert

It is strongly recommend to test alert delivery by clicking the button below. After sending a test alert, refresh the page and check for the message 'Alert(s) (not) submitted successfully.' Please note that emails may be queued, which can result in a slight delay before they are sent.

Please note the following terms and conditions for using the WPO365 Alerts service.

  • By enabling the WPO365 Alerts service, you acknowledge and agree to these Terms and Conditions, including the processing of data solely for the purpose of delivering alerts.
  • The WPO365 Alerts service is offered "as-is" and on a "best-effort" basis. No warranties are provided, and WPO365 disclaims any liability for alerts that are not sent, not received, or otherwise fail to reach the intended recipient.
  • Alerts are sent from your site to our API at https://insights.wpo365.com/. To ensure connectivity, it's recommended to send a test alert from your site.
  • The service will verify whether a valid premium license is active for the specified site. If not, the alert will be rejected. A WPO365 Health Message will be generated in your WP Admin Dashboard to inform you.
  • Alerts are always sent to the administrator email address configured for the site, which can be set via WP Admin → Settings → General.
  • To maintain fair usage, the WPO365 Alerts service limits alert delivery to 5 messages per day for each site and recipient. After reaching this threshold, a single notification will be sent indicating that no additional alerts will be processed until the daily quota resets.
  • Alerts may contain sensitive information, including the intended recipient's email address, the URL and title of the affected site, and - if enabled - the associated error message. This data may be temporarily stored in our databases and mail systems solely for the purpose of delivering the alert to the intended recipient. It will not be used for marketing, profiling, or any other secondary purpose, and is deleted at regular intervals in accordance with data minimization and retention policies under the GDPR.
  • WPO365 implements reasonable technical and organizational measures to protect alert data during transmission and temporary storage.
  • Users retain all rights under the GDPR, including the right to access, rectify, or request deletion of personal data processed by the WPO365 Alerts service.
